The most common question before using WhatsApp Business API is: “how much does it cost per month?” The answer always has three layers, and many vendors mention only the first.
1. Platform costs (BSP / software)
This is the cost of the software you use: team inbox, workflows, AI, and reports. Models vary — a flat workspace fee, per-seat pricing, or monthly active contacts. Make sure you know what is included: seats, conversation allowance, and whether AI and broadcasts are included.
2. Meta costs (messages and templates)
Meta charges by message category — marketing, utility, authentication, and service — at country-specific rates. Vendors often leave this out of their quotes. Ask for the rate card and an invoice example that separates Meta costs from platform costs; a good vendor passes them through at cost without a markup.
3. Operational costs
Setup time, number migration, team training, and integration costs when needed. A good platform reduces this layer with fast number onboarding, template support, and workflows that do not require a developer.
A simple calculation example
Suppose your team handles 3,000 conversations per month with an average of six service messages per conversation and sends 5,000 marketing templates. Calculate: (a) the platform subscription for your allowance, (b) 18,000 service messages × the Indonesian utility rate, and (c) 5,000 templates × the marketing rate. Add them up and compare the total with the value of one order previously lost to an unanswered chat — saving one or two orders often covers the cost.
